Who we are

Ruhe Global Resources (“Ruhe”, “we”, “us”) is a study abroad advisory and admissions agency. Our head office is in Abuja, Nigeria, and we also have an office in the United Kingdom. For the personal information described in this policy we decide why and how it is used, which makes us the data controller.

We are an ICEF Accredited Agency. ICEF Agency Status is an accreditation programme for international education agencies, based on verified agency information, institutional references and acceptance of the ICEF Agency Code of Conduct. Our agency number is 3667.

2

The laws we follow

We handle personal information in line with the Nigeria Data Protection Act 2023 (NDPA) and the guidance of the Nigeria Data Protection Commission (NDPC). Where UK data protection law (the UK GDPR and the Data Protection Act 2018) applies to our work, for example when we handle information of people in the United Kingdom or through our UK office, we follow it as well.

3

Technical information

Sensitive information

Some of this information is sensitive, for example police clearance, health related information such as whether a medical examination is complete, and financial records. We handle it only where it is needed for your application and with your explicit consent, which you give when you provide it.
4

How we use your information

We use your information to:

  • create and manage your account and keep it secure;
  • check your eligibility and suggest countries, schools and courses;
  • prepare, check and submit your applications to institutions, and guide you through visa, accommodation and our other services;
  • assign a counsellor to you, book and run meetings and calls, and answer your questions;
  • let our counsellors and team know when you submit an application or a document, so we can act on it quickly. This happens through internal alerts and our support desk;
  • take payments and keep financial records;
  • send service messages such as reminders, status updates and security notices;
  • send news and offers, only where you have agreed;
  • improve our website and services, and prevent fraud and misuse;
  • meet our legal duties and the standards we have accepted as an ICEF accredited agency.

Our lawful bases

Your consent

Needed for sensitive information and for marketing. You can withdraw it at any time.

Our agreement with you

To provide the services you ask for and to take steps at your request before we start.

Legal obligations

Where the law requires us to keep records or share information.

Legitimate interests

For security, fraud prevention and improving our services, where this does not override your rights.

5

Who we share it with

We do not sell your personal information.

We share it only with:

  • Institutions and partners. Universities, colleges, schools and their admissions or recruitment teams, for the applications you ask us to make. If you ask us to take over an existing application, we may also contact the institution and your previous agent.
  • Visa and immigration bodies, only where your visa application needs it and as you instruct us.
  • Service providers that work for us, under agreements that require them to protect your information: Zoho (customer records, support tickets, video meetings and document storage), Vercel (website hosting and analytics), Neon (database hosting), Google (sign in and some file storage), Paystack (payments), and email and messaging services, including WhatsApp if you choose to contact us there.
  • Our own team. Counsellors, front desk, admissions staff and administrators who need it to help you. Your assigned counsellor can see your profile and documents. Only administrators can see complaints made about counsellors.
  • Authorities and advisers, where the law requires it or to protect our legal rights, and ICEF if a complaint about our conduct is referred to it.
  • A buyer or successor, if our business is ever restructured, on the same protections as in this policy.
6

Sending information abroad

Our work is international. The institutions you apply to, and several of our service providers, are outside Nigeria, so your information is sent to other countries.

We transfer personal data only where the NDPA allows it: to a country or company that gives an adequate level of protection, under contracts or other safeguards that require the same level of care, or with your explicit consent. When you ask us to apply to a school in another country, sending your information to that school is necessary to carry out your request.

7

How we protect it

  • Passwords are stored hashed, and you can turn on two factor authentication.
  • Connections to our website and portal are encrypted.
  • Access is based on role: you, your assigned counsellor and authorised staff who need it. Documents are kept in access controlled storage.
  • We choose service providers with care and keep the information we share with them to what they need.
  • We review our security regularly.

If a personal data breach is likely to put your rights at risk, we will tell the NDPC within 72 hours of becoming aware of it, and we will tell you directly where the law requires.

No online system is completely free of risk. Please keep your password private, and tell us straight away if you think someone has used your account.
8

How long we keep it

We keep your information for as long as it is needed for these purposes:

  • while your account is active and we are working on your applications;
  • afterwards, for the time needed to meet legal, tax and accounting duties, resolve disputes, and meet the requirements of institutions and ICEF;

When that time ends we delete the information or make it anonymous.

9

Your rights

Access

Ask for a copy of your information and details of how we use it.

Correction

Ask us to fix information that is wrong or incomplete.

Erasure

Ask us to delete your information, unless we must keep it by law.

Restriction and objection

Ask us to limit certain uses, or object to them.

Portability

Ask for your information in a structured, electronic format.

Withdraw consent

Withdraw your consent at any time. This does not affect what we did before.

You can also opt out of marketing at any time, and you can complain to the Nigeria Data Protection Commission (ndpc.gov.ng) or, if you are in the United Kingdom, to the Information Commissioner’s Office (ico.org.uk).

To use any of these rights, email admissions@ruheglobalresources.com with “Data request” in the subject. We may need to confirm who you are first, and we aim to reply within 30 days.

Some information we must keep by law. Once we have sent your information to an institution, that institution handles it under its own policy. If you withdraw consent for information we need, we may no longer be able to provide the related service.
10

Cookies and similar tools

  • Essential cookies keep you signed in and keep your account secure.
  • We use analytics to understand how our pages are used so we can improve them.
  • Features such as the WhatsApp chat button and Zoho Meeting links open services run by other companies, which have their own policies.

You can control cookies in your browser settings. Blocking essential cookies may stop you from signing in.

11

Children

Our services are intended for adults. If you are under 18, a parent or guardian must be involved: they must agree to the use of your information and sign your application where needed. We do not knowingly collect information from a child without that consent. If you think we have, contact us and we will delete it.

12

Other websites and services

Our website and portal link to services run by others, such as institutions, Zoho Meeting, WhatsApp and ICEF. Their privacy policies apply to what they collect, and we are not responsible for them.

13

Changes to this policy

We may update this policy as our services or the law change. The date at the top of this page shows the latest version. If a change is significant we will tell you by email or in the portal.
